  • Ensuring that reporting is accurate and timely to ensure that the operations team stays motivated and aligned with performance goals.


By managing this incentive system, our Administrative Assistant ensures that every team member stays on track to perform at their best, directly contributing to the success of the business. This also promotes a culture of accountability and excellence, which is vital for maintaining high standards in all aspects of our operations.


2. Handling Damages & Reimbursements

The Administrative Assistant is responsible for:

  • Managing and processing damage claims from guests.

  • Coordinating reimbursements with guests or through AirCover.

  • Keeping detailed records to ensure that all claims are properly documented and followed through.


This aspect of the role ensures that our property is well-maintained and any damage is swiftly addressed, without interrupting the guest experience or our operational flow. This also eliminates potential bottlenecks, which can be time-consuming for other team members.


3. Issuing Invoices


Managing financial transactions is crucial to keeping the business running smoothly. The Administrative Assistant is in charge of:

  • Generating and issuing invoices for guest bookings and additional services, ensuring that they are clear, professional, and accurate.

  • Using Canva to create visually appealing and branded invoices.

  • Maintaining organized records of all invoices for ease of audit and review.

This role ensures that all financial transactions are handled efficiently, leaving no room for errors or confusion. With invoices promptly issued, we ensure a consistent cash flow and minimize disputes or delays.


4. Refund Processing


When guests check out, we often deal with security deposit refunds. The Administrative Assistant will:

  • Oversee the processing of security deposit refunds collected at check-in.

  • Ensure that all transactions are documented, processed, and refunded in a timely manner.


This ensures transparency and trust with our guests, which is vital for maintaining high guest satisfaction ratings on Airbnb and other booking platforms.


5. Listing Management


Our Administrative Assistant will also oversee our property listings on major platforms like Airbnb and MMT (MakeMyTrip), ensuring they are always up-to-date and optimized. Responsibilities include:

  • Managing and updating property listings with the latest details, prices, and availability.

  • Drafting and submitting appeals for unfair or retaliatory reviews that may arise on these platforms.

A Big Shift: I, as the Host, Will No Longer Be in Touch with Guests


One of the most significant changes in our business operations is that, with the addition of the Administrative Assistant, I will no longer be directly in touch with guests. This transition is part of our ongoing strategy to streamline operations, reduce my day-to-day involvement, and ensure that our guests receive a consistent, high-quality experience from our team.


While I will still oversee the financial aspects of the business, including incoming and outgoing transactions, the Administrative Assistant and the rest of the team will handle all guest interactions. This includes guest inquiries, booking confirmations, check-in instructions, and any other communication that needs to take place during a guest’s stay. With this change, we aim to provide a more seamless and professional experience for guests while allowing me to focus on high-level tasks like growing our portfolio and finding new investors.


A Collaborative Ecosystem: The Role of the Administrative Assistant


This hire is part of a larger strategy to create an ecosystem of interdependent roles within our business. The Guest Relations Manager, Operations Manager, and Administrative Assistant will work closely together, each role supporting the other to deliver the best guest experience and maintain efficient operations.


For example:

  • If the Operations Manager fails to keep the property well-maintained or delays check-ins, they lose part of their incentive, which is then transferred to the Administrative Assistant. This ensures that the Administrative Assistant is incentivized to help keep everything running smoothly, even when other team members fall short.

  • Similarly, if the Guest Relations Manager fails to respond to guest queries in a timely manner, that lost incentive is also transferred to the Administrative Assistant, encouraging them to step in and take on additional responsibilities where needed.

Coverage During Absences or Leave


In addition to these responsibilities, the Administrative Assistant will also act as a backup for other team members during times of absence or leave. Whether the Guest Relations Manager or Operations Manager needs time off, the Administrative Assistant will step in to ensure that there is no disruption to operations. This role is crucial in maintaining consistency and ensuring that guest experiences aren’t compromised, even when key team members are unavailable.


By cross-training the Administrative Assistant in various roles, we ensure that the business can run smoothly even in the face of staffing changes. This backup system helps us maintain a high level of service quality and ensures that our Airbnb operations continue without interruption.
